Clivia is built as a decision traceability system. We collect only what is needed to run your workspace securely and improve accountability workflows.

Who we are

Clivia provides software for capturing meetings, structuring minutes, and keeping decisions accountable. This policy explains how the Clivia web application handles personal data for organisation members who sign in to the workspace.

Data we process

Depending on how your organisation uses Clivia, we may process:

  • Account details such as name, email, and role.
  • Meeting content you create or join, including titles, participants, transcripts, summaries, minutes, and action items.
  • Technical logs needed for security, reliability, and support.
  • Cookie and preference data described in our cookie notice, when you allow those categories.

Why we process it

We process personal data to:

  • Authenticate users and protect organisation workspaces.
  • Deliver meeting memory, minutes, and decision workflows.
  • Improve product reliability and tailored in-product experience.
  • Meet legal, security, and contractual obligations.

Sharing and processors

We do not sell personal data. Service providers that help host, process, or secure Clivia may process data only under instructions and with appropriate safeguards. Organisation administrators remain responsible for how their teams use Clivia content.

Retention and security

We retain workspace data for as long as your organisation account needs it, or as required by law and operational security. Access controls, encryption in transit, and audit practices are used to reduce unauthorized access risk.

Your choices and rights

Depending on your location and organisation policy, you may request access, correction, export, or deletion of personal data. Cookie preferences can be changed at any time. Contact privacy@clivia.app or your organisation admin for account-level requests.
